This Privacy Policy (this “Policy”) describes how Donation Circle, LLC d/b/a HelpVets (“HelpVets,” “we,” “us,” or “our”) collects, uses, and shares information when you visit the website located at www.helpvets.com and any related pages, forms, and online features we operate (collectively, the “Site”), schedule a donation pickup, contact us, or otherwise interact with us. Capitalized terms used but not defined in this Policy have the meanings given in our Website Terms of Use and Donation Pickup Terms (together, the “Terms”), available at www.helpvets.com/terms-of-use.

By using the Site or scheduling a pickup, you acknowledge that you have read and understand this Policy. If you do not agree with this Policy, please do not use the Site.

1. Changes to This Policy

We may update this Policy from time to time by posting the updated Policy on the Site with a new “Last Updated” date. If we make material changes, we may also notify you by email or by a notice on the Site. Your continued use of the Site after changes are posted means you acknowledge the updated Policy.

2. Information We Collect

Information You Provide. We collect information you provide to us, including when you schedule a donation pickup, submit a contact form, sign up for email communications, request information, or otherwise communicate with us by phone, email, or through the Site. This information may include:

  • your name;
  • your address, including your pickup address and ZIP code;
  • your email address and phone number;
  • donation and pickup information, such as pickup dates, item descriptions, and pickup instructions;
  • your communication preferences; and
  • any other information you choose to provide to us.

Information Collected Automatically. When you use the Site, we and our service providers may automatically collect information about your device and your use of the Site, such as your IP address, browser type, device information, pages visited, referring and exit pages, date and time of visits, approximate location derived from your IP address, and other usage and engagement information.

3. Cookies and Similar Technologies

We and our service providers use cookies, pixels, and similar technologies to operate the Site, remember your preferences, understand how visitors use the Site, measure the effectiveness of our communications and advertising, and improve the Site. A cookie is a small text file saved by your web browser. You can set your browser to refuse cookies or to alert you when cookies are being sent, but some parts of the Site may not function properly if you do so. We may also use pixels in our emails to learn whether emails have been opened. Most email services allow you to turn off pixels by disabling external images.

Analytics. We use Google Analytics to help us understand how visitors use the Site. Google Analytics collects information such as your IP address and how you use the Site. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on, and you can manage Google advertising cookies through Google’s Ad Settings.

Advertising. We may work with advertising partners that use cookies, pixels, and similar technologies to collect information about your activity on the Site and other websites over time in order to measure our advertising and show you ads for HelpVets on other websites and platforms. The collection and use of information by these partners is governed by their own privacy policies. You may opt out of interest-based advertising from many advertising partners through the Digital Advertising Alliance at www.aboutads.info/choices and the Network Advertising Initiative at www.networkadvertising.org/choices, and through the ad settings of the platforms you use.

Maps. The Site may use Google Maps to help you find or confirm your pickup address. Your use of Google Maps features is subject to Google’s privacy policy.

Do Not Track. Some browsers offer a “Do Not Track” setting. The Site does not currently respond to Do Not Track signals.

4. How We Use Your Information

We use the information we collect to:

  • schedule, manage, and coordinate donation pickups, including with Pickup Providers and Charitable Partners;
  • communicate with you about your pickup requests, including confirmations, reminders, and receipts;
  • respond to your questions and provide customer support;
  • send you service-related communications and, where permitted, occasional updates about HelpVets;
  • operate, analyze, and improve the Site and our services;
  • measure and improve our advertising;
  • detect, prevent, and address fraud, misuse, and security issues, and protect HelpVets, our users, and others;
  • enforce our Terms and comply with legal obligations; and
  • for any other purpose described to you at the time we collect the information.

5. How We Share Your Information

Pickup Providers and Charitable Partners. To arrange and complete your pickup, we share the information you provide when scheduling, such as your name, pickup address, phone number, email address, and pickup details, with the applicable Pickup Provider and Charitable Partner. They may use this information to perform your pickup, provide donation receipts, and address questions or concerns about your pickup.

Service Providers. We share information with service providers that perform services for us, such as website hosting, form processing, customer relationship management (for example, HubSpot), email delivery, analytics, mapping and location services, advertising, and customer support. Our service providers may use your information only as necessary to perform services for us.

Legal Requirements and Protection. We may disclose information if we believe it is required by law, regulation, subpoena, or other legal process, in response to requests from government authorities, or when we believe disclosure is necessary to protect the rights, property, or safety of HelpVets, our users, or others, or to investigate or prevent fraud or other unlawful activity.

Business Transfers. We may share or transfer information in connection with any merger, acquisition, financing, reorganization, sale of assets, or similar transaction, or in connection with any bankruptcy or similar proceeding.

Aggregated or De-identified Information. We may share information that has been aggregated or de-identified so that it does not reasonably identify you.

With Your Consent. We may share information for other purposes with your consent or at your direction.

6. Email Communications

You may opt out of promotional emails from us at any time by following the unsubscribe instructions in those emails. Even if you opt out, we may still send you service-related communications, such as messages about your pickup requests.

7. Your Choices

You may contact us using the information below to update or correct the information you have provided to us or to ask questions about how your information is used. We will respond to your request as required by applicable law.

8. Data Security and Retention

We use reasonable administrative, technical, and physical safeguards designed to protect your information. However, no method of transmitting or storing information is completely secure, and we cannot guarantee the security of your information. We retain information for as long as reasonably necessary for the purposes described in this Policy, including to comply with legal obligations, resolve disputes, and enforce our agreements.

9. Third-Party Websites

The Site may contain links to third-party websites. These websites operate independently of HelpVets and have their own privacy practices. HelpVets is not responsible for the content or privacy practices of third-party websites, and we encourage you to review their privacy policies.

10. Age Restriction

The Site is intended for users who are at least 18 years old and is not directed to children. We do not knowingly collect personal information from anyone under the age of 18.

11. United States Only

The Site is operated in the United States and is intended for use by individuals located in the United States. If you access the Site from outside the United States, your information will be processed in the United States.
